PersonalHQ – Terms & Conditions

These Terms & Conditions explain how PersonalHQ works, what you can expect from us, and what we expect from you. By creating an account, starting a free trial or subscribing, you agree to these terms.

1. Who we are

PersonalHQ (“we”, “us”, “our”) is an online platform that provides AI‑driven counselling‑style and coaching support through a team of AI personas (counsellors, coaches and SAGE, our central guide).

2. What PersonalHQ is (and what it isn’t)

PersonalHQ is designed to be a supportive, private space where you can:

  • Talk through what’s on your mind 

  • Explore thoughts, feelings and patterns 

  • Get tools, ideas and encouragement from AI counsellors and coaches

 

However, PersonalHQ is not:

  • A replacement for medical care, psychiatric treatment or formal diagnosis 

  • A crisis or emergency service 

  • A substitute for in‑person therapy or counselling where that is needed

If you are in crisis, feel at risk of harming yourself or others, or are experiencing a medical emergency, you should contact emergency services or an appropriate crisis helpline immediately. PersonalHQ is not designed or able to respond to emergencies.

3. Age and eligibility

To use PersonalHQ, you must:

  • Be 16 years of age or older, and 

  • Have the legal capacity to enter into these Terms & Conditions.

By creating an account, starting a free trial or subscribing, you confirm that you meet these requirements.

 

4. Use of AI personas

All counsellors, coaches and SAGE on PersonalHQ are AI personas, not human practitioners.

  • Their responses are generated by AI models informed by professional counselling and coaching principles, but they are not human therapists or doctors. 

  • The guidance you receive is for support, reflection and personal development, not medical or clinical treatment. 

  • You remain responsible for your own decisions, actions and well-being.

We are transparent about our use of AI and how your data is handled in our Privacy Policy, which forms part of these terms.

 

5. Free trial and subscription

5.1 14‑day free trial

When you sign up, you may be offered a 14‑day free trial of PersonalHQ.

  • During the trial, you get full access to the platform at no charge. 

  • We will ask for your payment details when you start the trial, but we will not take payment until the trial ends. 

  • At the end of the 14‑day trial, your subscription will automatically start at £19.99 per month, less any applied coupons, unless you cancel before the trial ends.

We will clearly show the date your trial ends and when your first payment is due.

 

5.2 Subscription and billing

  • After your free trial, and the expiry of any applied coupons, PersonalHQ costs £19.99 per month. 

  • This is a recurring subscription that renews automatically every month until you cancel. 

  • Payments are taken using the payment method you provide when you sign up (for example, via Wix’s payment system or another provider shown at checkout).

 

5.3 Cancelling your trial or subscription

You can cancel at any time:

  • During the free trial:
    If you cancel before the end of your 14‑day trial, you will not be charged. Your access will end at the point of cancellation or at the end of the trial period, depending on how the system is set up.

  • After your subscription has started:
    If you cancel after billing has begun, your access will continue until the end of your current paid month. You will not be charged again after that, but we do not usually offer refunds for unused time within a billing period (see Refunds below).

Details on how to cancel (e.g. via your account settings or by contacting us) will be provided in your welcome information and/or account area.

 

6. Refunds

Because we offer a 14‑day free trial, you have the opportunity to try PersonalHQ before any payment is taken.

  • If you cancel before the trial ends, you will not be charged. 

  • Once your paid subscription has started, we do not normally provide refunds for partial months or unused time, unless required by law or in exceptional circumstances at our discretion.

This does not affect your statutory rights under UK consumer law.

 

7. Your responsibilities as a user

When using PersonalHQ, you agree to:

  • Use the service for lawful, personal purposes only. 

  • Not use the platform to share or request illegal, abusive, hateful or harmful content. 

  • Not attempt to harm, disrupt or misuse the service or its underlying systems. 

  • Not rely on PersonalHQ for emergency or crisis support. 

  • Keep your login details secure and not share your account with others.

We may suspend or terminate access if we reasonably believe the service is being misused or these terms are being seriously breached.

 

8. Data, privacy and security

We take data protection seriously and aim to handle your information responsibly and transparently.

  • Our Privacy Policy explains what data we collect, how we use it, how it is stored and your rights under UK data protection law (including GDPR). 

  • By using PersonalHQ, you agree to the way we handle data as described in the Privacy Policy.

9. Service availability and changes

We aim to provide a reliable, high‑quality service, but:

  • We cannot guarantee that PersonalHQ will always be available without interruption or error. 

  • From time to time, we may need to carry out maintenance, updates or improvements which may temporarily affect access. 

  • We may change or improve features, AI models, or the way the service is presented, as we continue to develop PersonalHQ.

If we make any significant changes that materially affect your use of the service or these Terms & Conditions, we will aim to let you know in advance via the website, email or in‑app notifications where reasonable.

 

10. Limitation of liability

Nothing in these terms limits or excludes any liability that cannot be limited or excluded under UK law (for example, liability for death or personal injury caused by negligence, or for fraud).

Subject to that:

  • PersonalHQ is provided on an “as is” and “as available” basis. 

  • We do not guarantee that using PersonalHQ will lead to any specific outcome, improvement or result in your mental health or life circumstances. 

  • To the fullest extent permitted by law, we will not be liable for:

    • Any indirect, consequential or special loss or damage, or 

    • Any loss of data, income, profits, or business arising from your use of PersonalHQ.

Our total liability to you for any claims arising out of or in connection with your use of PersonalHQ will be limited, to the extent permitted by law, to an amount no greater than the total fees you have paid to us for the service in the 12 months before the claim arose.

You remain responsible for your own decisions, actions and wellbeing, and for seeking appropriate professional or emergency support when needed.

 

11. Changes to these Terms & Conditions

We may update these Terms & Conditions from time to time, for example to:

  • Reflect changes in the law 

  • Reflect changes in how PersonalHQ works 

  • Improve clarity and transparency

When we make significant changes, we will aim to notify you via the website, email or in‑app notification. The updated terms will apply from the date they are posted on the website.

If you continue to use PersonalHQ after the updated terms take effect, you will be deemed to have accepted the changes. If you do not agree with the updated terms, you should cancel your subscription and stop using the service.

 

12. Governing law

These Terms & Conditions are governed by the laws of England and Wales. Any disputes arising out of or in connection with these terms or your use of PersonalHQ will be subject to the exclusive jurisdiction of the courts of England and Wales.
